General Summary:
The Division Manager will report to the President and indirectly to the Vice Presidents of Ace Electric, Inc. and will have the authority and responsibility for the safety and health of all Division employees. Additionally, the Division Manager will plan, schedule, and control the needed manpower, materials, tooling, and equipment to maximize the productivity of the work done while minimizing the relative costs for the completed work and ultimately should and/or exceed scheduled project completion dates and planned profit potential. The Division Manager is also required to develop and administer a marketing and sales plan that is to be designed to attain management of overall sales (income), gross margin costs, and profit margins and will be accountable for the collections for any and all receivables for projects assigned the division.

Responsibilities:
SAFETY:
· Reviews bid documents and contracts to ensure all safety and insurance specifications are identified, and can be implemented prior to bidding a project.
· Assures compliance with all OSHA, NFPA, EPA, NEC, and any other applicable Local, State, and Federal Governmental agencies rules and regulations.
· Assures all safety policies and procedures are being adhered to by all employees, subcontractors, and vendors reporting to or contracted by the division.
· Works closely with the company Safety Director to complete required employee safety training, review safety inspections & audits and implement corrective actions, and implement and maintain safety incentive programs (when active).
· Will be actively involved in any safety incident investigation, and implement corrective action as necessary.
· Conducts yearly safety performance reviews on employees assigned to the division.
· Completes six (6) project safety inspections each year.
· Implements disciplinary action policies resulting from employee safety violations.
· Works closely with the Safety Department and Human Resources in implementing and enforcing Ace’s Drug Free Workplace policy and program.
COMMUNICATION:
· Will maintain a free exchange of non-confidential information throughout all functions of the company.
· Keeps Ace Management informed of progress of each project, and his activities, problems, solutions, and of anything unusual that may come up.
· Attends and participates in meetings as required.
· Works with the division employees to resolve any roadblocks or unusual delays regarding interference by other contractors, lack of materials, products, tooling, equipment, etc.
· Reviews employee recommendations regarding trends for actual cost savings then recommends the best of these to Management for approval, and implements those approved recommendations.
· Assures that all problems regarding design or specification ambiguities, change orders, work phase sequencing, and schedule changes or delays are resolved, and keeps Management updated on the progress.
PLANNING:
· Develops and submits to Management for approval a forecasted annual division business plan, and once approved by Management will operate within the scope of the plan. Business plans are to be reviewed and updated every six (6) months and will be extended out to the end of the fiscal year.
(Note: Obtains whatever historical, basic criteria, and/or current data required to establish the business plan from the Controller or other Company Officers as necessary)
· Develops and submits recommendation regarding the division’s manpower, facilities, tooling equipment, inventory, etc. based on current knowledge of the overall business plan, current workload, and impending projects. All recommendations are submitted to Management well in advance of needs.
· Submits feasibility studies with the assistance of the Controller to Management as required concerning capital expenditures such as tooling, equipment, expansion of inventories, etc.
· Assures each major project has a “Project Execution Plan” established, that the Project Manager and Superintendent have a working knowledge of how to implement the plan, and that there is a practical schedule to follow. Planning for Profits should be used, if feasible.
· Submits information and input as required to keep Ace Electric’s “Strategic Business Plan” current.
POLICIES AND PROCEDURES:
· Maintains and awareness of all Company policies and procedures, and enforces them.
· Recommends to Management the need for any revisions and/or new policies and procedures, and helps Management to develop these as necessary.
· Assures new policies are implemented, when required, and existing policies are kept up-to-date.
BRANCH STAFF:
· Recruits, selects, directs, trains, motivates, disciplines, and terminates any division employees (with Management approval and the assistance of Human Resources) and keeping within budgetary allowance.
· Trains each division employee thoroughly in established company policies and procedures, and emphasizes Management’s objectives, goals, and values.
· Makes recommendations on employee wage changes and submits those changes on a salary change form.
· Evaluates the performance of the employees as required by standard procedure.
· Develops and thoroughly trains (with Management approval) a back-up employee who will be capable of taking over the Division Manager duties during your absence, and who would be promotable to the position should you become incapacitated, retire, or get promoted.
· Assures up-to-date job descriptions are written and maintained for every position within the division, and are forwarded and reviewed by Human Resources.
· Keeps Management informed of the climate of morale of all employees in the division, and makes recommendations on how to improve morale and implement the ideas as necessary once approved by Management.
· Provides the motivation and training necessary to assure that the production level of all division employees is at or above an acceptable level.
· Assures that the required minimal educational and/or experience levels are established and maintained for each job within the division.
· Will work with the employees to resolve their problems, issues, or concerns.
· Establish and implement plans so all employees are cross-trained (as much as possible and applicable) to upgrade and provide a more flexible staff.
· Ensures that all customer contacts are made tactfully and inoffensively, and that all contacts are completely documented (as applicable). Regular reviews of all customer contact reports created by customer service representatives.
· Makes sure that all personnel grievances are handled promptly and fairly by following existing company procedures, and with any help required by Human Resources or Management.
PROJECT OPERATIONS:
· Assures that the best possible person is assigned as the Project Manager for a project, and works with this person to ensure that the project is properly staffed with the best personnel to fit the scope of the project.
· Makes sure each project is adequately planned to include completing a tooling list and submitting it for the materials to be used on the project, that the materials for the project are ordered on time and are delivered as close as possible to the area they will be installed, and that the required and approved paperwork (blueprints, specifications, etc.) are available.
· Assures that the materials delivered to the project are accurately accounted for, all paperwork has been properly signed and handled per company procedures, and that all materials are stored and used as required.
· Ensures weekly job status reports and blueprint color coding are kept up-to-date, change orders are handled per company procedures, the change order log is properly maintained and reviewed, and all problems are expeditiously resolved.
· Provides oversight to assure quality work is consistently performed, that all problems and corrective actions are taken as they occur, and that the punch list is minimized by the end of the project.
· Assures that a schedule does exist on a project, obtain a copy of it, assure that everyone is up to date on the schedule and that the schedule is being maintained or exceeded, and that the manpower requirements are maintained.
· Will do everything possible to maintain control of the deterioration of materials, products, tooling, and equipment as much as possible.
INVENTORY:
· Will be responsible for the total inventory assigned to the division facility.
· Makes recommendations to Management for approval regarding inventory levels, and the minimum/maximum reorder quantities based on the division’s historical sales and knowledge of the business plan, and order the items as needed.
· Controls the damage, theft, loss, and deterioration of all inventories as best as possible.
· Establishes and maintains a stocking and picking lay-out to insure maximum utilization of the facility.
· Submits and recommends (on a regular basis) a list of unusual items returned from jobs or service calls to Management for consideration. Upon advisement by Management, the items shall be returned to the appropriate supplier, transferred the corporate office, retained in the division inventory, or be discarded or destroyed.
· Reviews all items in inventory for value and usefulness and will tag all items that have little or no value.
· Conducts physical inventory audits as directed, compares the audits to on-hand figures, and resolves all discrepancies.
SALES:
· Performs, evaluates, and coordinates market sales and research with the Business Development Coordinator.
· Works with Ace Management to establish:
a. Sales forecast
b. Sales mix and gross margin
c. Advertising and promotional programs and strategies
d. Division marketplace and potential
e. Competitors activities
f. Number of sales calls to be made daily, weekly, monthly, and the type of customers to be called on
· Assures sales people are trained to use the “could you use” technique to assist customers and increase sales.
· Continuously reviews and updates price lists
· Follows up on all special ordered items and/or items on backorder to ensure of their timely delivery.
· Approves the requisition for the purchase of re-stocked or special order items.
· Solicits, quotes, and obtains sales of the various kinds of business the company operates within in order to meet the established and approved marketing plan
· Constantly reviews public advertisements or other sources (Dodge Reports, Government Publications, etc.) for potential sales projects on which to bid, and will follow up on such leads to obtain contacts.
· Informs Ace Management of any potential sales leads.
SERVICE-PERSONNEL/EQUIPMENT:
· Assures that communications with customers is timely, and that we stay in contact with customers on all uncompleted service calls or questions.
· Strives constantly to point out to customers (in a tactful manner) other obviously needed repair work.
· Recommends to customers any different equipment that can be used which will improve or update the performance of the current system they are using.
· Promptly resolves all problems that may arise during an installation, repair, or on follow-up customer questionnaire.
· Assists when needed in preparing quotes on customer repair calls.
· Recommends leads to the Business Development Coordinator.
· Assures that all company service vans and company trucks within the division are clean and well maintained.
· Oversees that the work is done right the first time, but verifies and schedules manpower promptly to perform warranty work that might be necessary.
· Assures all code corrections mandated by the State are scheduled and completed by the required date.
· Assures State electrical affidavits are posted on every project according to the State law.
MAINTENANCE:
· Establishes, administers, and enforces all preventive maintenance programs, and keep equipment, plant property, and facilities in good repair and appearance as economically as possible.
· Solicits contracts and brings in outside help (contractors needed and approved by Management) to repair, change, move any equipment or upgrade the office or warehouse that cannot be safely and properly done by internal personnel.
GENERAL:
· Cooperates with all key personnel and more so customers.
· Makes any recommendations which would improve the Company.
· Fulfills, submits, and maintains records and reports as required.
· Keeps current in technological changes to be able to make recommendations or evaluate employee recommendations for innovating changes to operations, tooling, equipment, and procedures enabling the Company to continue to be competitive.
· Attends industry and management training programs or seminars (as approved and directed by Management) to enhance your education, and then holds meetings, after attending any seminars, with the appropriate people to relate to them and further their education on the subject.
· Approves any requisitions or purchases of materials, products, tooling, equipment, supplies, or miscellaneous expenses for the divisional function.
· All decision making will reflect the best interests of Ace Electric, and not for personal gain.
· Negotiates and establishes agreements for outside contracted work (as directed and approved by Management).
· Utilizes the prestige of the position to strengthen customer, supplier, employee, and civic relations, and will represent the Company in pertinent civic, governmental, association groups or agencies as required.
· Watches over and protects the Company’s image, and reminds the employees of the importance that the customer (and the public at large) place on an efficient and courteous business.
· Assures that all customer complaints are handled quickly, professionally, and fairly.
· Resolves customer claim disputes (as directed by Management), and issues recommendations of any credit adjustments to Management based on evaluation of the problem, the customer, and type of claim or current policy.
· Performs other duties assigned by Management, or other duties and responsibilities no specifically outlined herein but which are logically inherent to the function of Division Manager.
· The Division Manager takes complete responsibility for all duties and responsibilities, and may personally handle them or may delegate some of them to others, however in doing so does not give up the responsibility.
· Maintains Total Quality Management within the Division.
Position Requirements:
- License: Valid state driver's license as required by job conditions or by the company.
- Certification: None required.
- Education: High School Graduate or GED.
- Experience: Minimum of 5 years electrical superintendent required with at least 2 years of electrical training preferred.
Working Conditions:
- Work in a climate-controlled office setting with varying degrees of stress and time pressure.
- Job also requires working in all elements, depending on job location, time of year, heat, cold, rain, or snow.
- Must be able to utilize construction site sanitary facilities (Porta-Johns).
- Wear personal protective equipment as required.
- Able to work 40 hours per week plus overtime as required.
- Travel with overnight stay is required.
Required Physical/Mental Functions:
- Positively identify colors of wire and other items as required.
- Comprehend reading of blueprints drawings, and schematics same.
- Comprehend and practice safe work procedures as outlined in Safety Handbook.
- Operate company truck with manual and automatic transmission.
- Read and interpret maps, manuals, work site directions, and written instructions.
- Must hear and see well (either natural or with correction).
- Must be able to bend, stoop, squat, crawl, climb, kneel, balance, push, pull and reach overhead.
- Able to lift objects weighing up to 50 pounds, with frequent lifting and carrying of objects weighing up to 20 pounds.
- Tolerant to prolonged standing and movement on foot.
- Repetitive use of arms, hands, and fingers.
