We are seeking a detail-oriented and organized HVAC Service Scheduler and Dispatcher to join our team. The ideal candidate will be responsible for scheduling home service HVAC jobs and dispatching technicians efficiently. This role requires excellent communication skills, the ability to multitask in a fast-paced environment, and a commitment to providing exceptional customer service.
Duties include a wide range of responsibilities that focus on excellent customer service, phone skills, scheduling, sales, organization and dispatch. We are willing to train the necessary skill set to perform daily duties. A strong work ethic, willingness to work with others, patience and kindness when working with our customers is a top priority. Responsibilities
- Schedule and coordinate home service HVAC appointments with customers.
- Dispatch HVAC technicians to job sites based on schedule and geographic location.
- Communicate with customers to confirm appointments and provide updates on technician arrival times.
- Maintain and update the scheduling system with accurate information on appointments and technician availability.
- Respond to customer inquiries and resolve scheduling conflicts in a professional manner.
- Monitor the progress of service jobs and provide support to technicians as needed.
- Ensure all service requests are addressed promptly and efficiently.
- Collaborate with the HVAC team to optimize schedules and improve service delivery.
- Ensure all service appointment requests are managed efficiently.
- Adhere to communication scripts and templates to ensure consistency and accuracy.
- Maintain detailed and organized records of calls and appointment schedules.
- Implement feedback from supervisors to continually improve performance.
- Collaborate with team members to ensure timely and efficient appointment scheduling.
- Demonstrate reliability and dependability in all aspects of the role.
Qualifications:
- Proven experience in scheduling and dispatching, preferably in the HVAC or home services industry.
- Excellent communication and customer service skills.
- Strong organizational and time management abilities.
- Ability to multitask and prioritize tasks in a fast-paced environment.
- Proficient in using scheduling software and other computer applications.
- Attention to detail and accuracy in data entry.
- Problem-solving skills and the ability to handle scheduling conflicts effectively.
