Job Title: Service Coordinator
Job Summary: EMCOR Service Fagan has an immediate opportunity for an experienced Service Coordinator at our Kansas City, KS headquarters.
Essential Duties & Responsibilities:
- Take service calls from customers via telephone or email. Determine urgency of call and schedule accordingly
- Dispatch proper technicians including providing necessary materials and tools
- Create and dispatch job information to technicians including job numbers and contact information, as well as any job-specific instruction
- Coordinate dispatch/schedule issues with Contract Services Coordinator, Account Managers and leadership as needed.
- Manage dispatch board throughout the day. Check all open calls and direct Technicians accordingly.
- Review all work tickets prior to payroll and evaluate job costs for billing
- Provide billing clerk with completed packet of paperwork for invoice processing including tickets, quotes, lien wavers, contracts payables, etc
- Review all open work orders and determine time/materials to complete
- Coordinate purchase of materials/parts for job, establish lead times, and schedule technicians accordingly.
- Process approved quotes, purchase material, schedule manpower and work with customers to completion.
- Assist with processing payroll – approve timesheets and send to payroll. Check for accuracy including job numbers, customer signature, description of work, and vacation time.
- Available by phone after hours for schedule changes
- Assist with scheduling/coordinating truck driver and tools for all projects
- Provide sourcing and pricing assistance to other departments
- Coach Service Coordinators to improve efficiency of technician job assignments and performance of other duties
- Lead efforts and reviews to ensure all jobs are assigned, dispatched, built, completed, and passed to billing
- Assume additional responsibilities as directed by the Director of Service
Qualifications:
- Associates degree in business, construction, related field, or equivalent
- Five years of related experience
- Ability to effectively lead and motivate department employees
- Strong interpersonal, communication and problem-solving skills
- Proven proficiency in Microsoft Office and software required by position
- AS400-Trueline software experience highly desirable
- Service/Construction environment desirable
