Summary:
The Onsite Clerk is responsible for providing administrative and clerical support to the project team, ensuring accurate record-keeping, payroll assistance, logistics coordination, and compliance documentation. This position will work primarily in an office setting on-site and will play a crucial role in supporting project management, safety, and logistics teams. While this role will not be responsible for material tracking, the Onsite Clerk will support logistics efforts to ensure smooth project operations.
This position requires strong organizational skills, attention to detail, and the ability to multitask in a fast-paced environment.
Responsibilities:
Administrative & Office Support:
- Greet visitors and ensure all personnel sign in per site access requirements.
- Maintain document control by organizing and tracking project records, reports, and logs.
- Collect, sort, and distribute mail, delivery tickets, and daily reports.
- Prepare correspondence, memos, and reports as requested by project leadership.
- Maintain and order office supplies to support site operations.
- Handle incoming and outgoing mail, express packages, and courier services.
- Assist in arranging travel accommodations for employees and interviewees.
- Keep the office, filing, and storage areas organized and clean.
Payroll & Workforce Administration:
- Collect and review timecards to ensure accurate records of employee work hours.
- Assist in entering payroll data into company systems for timely processing.
- Track and verify fuel receipts, equipment logs, and workforce attendance.
- Maintain an updated spreadsheet tracking employee hours and site expenses.
- Assist with employee onboarding, ensuring new hires complete necessary paperwork and receive site-specific training.
Logistics & Safety Support:
- Provide logistical support for material deliveries by coordinating schedules and communication between vendors and project teams.
- Assist in coordinating employee transportation and travel logistics.
- Support safety teams by coordinating safety meetings, toolbox talks, and compliance training documentation.
- Work with the safety team to order and distribute PPE, ensuring compliance with company policies.
- Assist with coordinating on-site and off-site drug screenings and maintaining compliance records.
- Help schedule and facilitate crew lunches, meetings, and other site events.
Required Qualifications:
- Education: High school diploma or equivalent required.
- Experience:
- Prior experience in an administrative or clerical role on a construction project preferred.
- Experience working on civil infrastructure projects is a plus.
- Technology Proficiency:
- Strong skills in Microsoft Office Suite (Excel, Word, Outlook).
- Familiarity with construction management software is preferred.
- Communication Skills:
- Strong verbal and written communication skills.
- Ability to interact professionally with project teams, vendors, and field personnel.
- Organizational Skills:
- High level of attention to detail, time management, and ability to multitask in a fast-paced environment.
- Ability to Work Independently:
- Must be proactive, adaptable, and able to manage tasks with minimal supervision.
- Safety & Compliance:
- Familiarity with OSHA and jobsite safety protocols is a plus.
Physical Demands & Work Conditions:
- Work is primarily office-based on-site, with minimal field exposure.
- Must be able to sit, stand, walk, kneel, bend, and lift up to 25 lbs. occasionally.
- Work involves regular use of a computer, phone, and office equipment.
- May require occasional overtime or weekend work based on project demands.
