Description:
The Assistant Project Manager, under the direct supervision of the Director of HVAC Construction or assigned Project Manager (Supervisor), is responsible for support and assistance in all phases of commercial HVAC projects. Assists the project team and is responsible for some of the major deliverables of the project.
Requirements:
Project Management
- Takes part and assists in preconstruction, execution, and close-out phases of the project
- Assists in managing project with a net revenue $10MM+
- Follows established processes in all phases of the project and holds other team members accountable for following the same procedures
- Communicates efficiently and promptly with all team members
- Provides feedback to the estimating team on project(s) under construction
- Follows project schedule and executes all tasks outlined by supervisors within preset duration parameters
- Capable of prioritizing tasks and activities
- Self-sufficient in daily operations that pertain to this position
Preconstruction Phase
- Assists PM in the overall job review process. Executes tasks per PM’s direction. See PM Manual Job Review Process
- Responsible and assists with Vista submittals, RFI’s, COR’s, Transmittals, and Logs. Enters or executes per PM’s request.
- Enters specifications in Vista
- Process submittals through Vista. Responsible for keeping the log clean and up to date.
- Capable of developing a simple HVAC schedule in Microsoft Project. Assists PM in developing production schedule in MS Project.
- Develops or assists PM in creating a procurement schedule. Responsible for frequent updates by confirming lead times with vendors.
- Assists or enters RFI’s in Vista per PM’s direction
- Creates marked-up drawings, redlining, and overlay drawings in Bluebeam Revu per PM’s request
- Assists PM in electrical verification utilizing submittals and Vista
- Assists in the buy-out process by requesting quotes from vendors and subcontractors
- Responsible for the initial fill-out of the SOW/lead-release form in the project workbook
- Assist PM in creating SOV and cashflow projections
- Assists PM in creating PO and TA drafts and bid forms
- Responsible for keeping job folders clean and organized
- Keeps record of all important communications in the Preconstruction phase by logging information in Vista, project workbook, saving emails in the job folder, keeping meeting notes that pertain to APM’s duties and responsibilities
- Works with the preconstruction team to transition the project from estimating to project management most effectively and to meet the deadlines
Execution Phase
- Assists PM in the overall project flow process. Executes tasks per PM’s direction.
- Researches, applies for and pulls permits per PM’s request
- Familiar with contract scope of work. Understands inclusions and exclusions
- Continues to process Vista submittals, RFI’s, COR’s, transmitters ,and logs. Enters or executes per PM’s request
- Responsible for keeping submittals log clean and up to date
- Maintains and updates MS Project schedule per PM’s direction
- Maintains and updates procurement schedule. Responsible for frequent updates by confirming lead times with vendors. PM drives the process.
- Assists or enters RFI’s is Vista per PM’s direction
- Review ASI’s, change directives, updated drawings, etc., to identify all changes. Creates mark-up drawings, redlining, and overlay drawings in Bluebeam Revu per PM’s request. Keeps drawings folder clean and up to date. Creates change narrative for updated drawings per PM’s request.
- Assists PM in pricing CORs: obtains pricing from vendors and subcontractors, enters all costs in the estimate, enters CORs in Vista, keeps track, and updates CORs status. Sets CORs parameters in the job setup menu.
- Creates and requests purchase order and task agreement change orders per PM’s request
- Assists PM with updating the lead-release form in the project workbook per PM’s request
- Assists PM with job cost. Capable of pulling standard job cost reports from Vista.
- Capable of identifying costs through various Vista reports and how they relate to the Job Cost report per PM’s request
- Assists or executes invoices in Paperless per PM’s request
- Maintains job folders clean and organized
- Review shop drawings to ensure compliance with contract drawings, field conditions, and other trades. Reports any possible clashes to PM. Performed per supervisor’s or team lead request.
- Review shop drawings versus RCP drawings and Elevation drawings to identify possible clashes and conflicts perthe supervisor’s request.
- Keeps record of all important communications by logging information in Vista, project workbook, saving emails in the job folder, keeping meeting notes that pertain to APM’s duties and responsibilities
- Attends all job site meetings per PM’s request
- Assists PM in field site visits - creates notes, takes pictures, records all data, saves in the job folder, and distributes to vendors and subcontractors if necessary
- Performs job site visits on behalf of PM and per PM’s request
- Picks up and delivers materials to the job sites if necessary
- Collects, obtains, logs, works with, and distributes all important information that pertains to the project scope, budget, and schedule
- Assists PM in recognizing, identifying, avoiding, transferring, and mitigating risks by being actively involved in everyday operations
- Assists in creating job job-specific safety plan
- Tracks rental equipment budget and informs PM of any possible overruns, per PM’s request.
- Assists with scheduling deliveries, per PM’s request
- Releases equipment and materials to production per PM’s request. Follows equipment release procedures
and holds others responsible for this standard
- Tracks equipment lead times and deliveries
- Assists with developing job site logistics, lift and rigging plans, off-site storage, etc.
Close-Out Phase
- Assists in overseeing job commissioning, scheduling of required personnel
- Assists in Punch list completion
- Assists in job close-out documentation process

Minimum Qualifications:
- Bachelor’s degree in construction, engineering, or related field preferred
- 3+ years of construction or HVAC experience required
- Experience with estimating preferred
- Strong verbal and written communication skills
- Understanding of project management
- Willingness to travel
- PMP preferred
- Valid driver’s license and clean driving record
